Memory capsule information

For memory capsule services, we may also collect:

We will not intentionally use private memory content for unrelated advertising without appropriate permission.

Some memory capsules may be created for future delivery to children.

Where appropriate, instructions may be obtained from a parent or legal guardian.

A recipient who was a minor when a memory capsule was created may be required to verify his or her identity upon reaching adulthood before receiving or managing the capsule.

A customer may nominate another person as the future recipient of a memory capsule.

This may require TMT SG to retain the recipient's name, relationship, contact details and delivery information for a prolonged period.

Where appropriate, TMT SG may subsequently contact the recipient to:

• confirm contact information;
• explain the existence of a memory capsule;
• obtain necessary consent;
• confirm that a triggering event has occurred;
• verify identity;
• arrange delivery; or
• offer choices where a capsule approaches its expiry date.

Certain TMT SG services are specifically designed to preserve information over long periods.

Accordingly, the normal retention period for a memory capsule may be substantially longer than for ordinary customer records.

The applicable retention period will depend on the service selected and the customer's instructions.

Where a memory capsule is expressly established with a 30-year expiry period, TMT SG may retain the relevant content and associated personal data for up to that period, together with a reasonable administrative period needed to complete delivery, renewal, deletion or other agreed instructions.

Other personal data will generally be retained only for as long as it remains reasonably necessary for the purposes for which it was collected or for applicable legal or business requirements.

When personal data is no longer required, we will take reasonable steps to securely delete, destroy or anonymise it.

For event-triggered services, TMT SG may periodically contact the intended recipient or another authorised contact to determine whether the relevant event has occurred.

Once an adult recipient has been informed about the existence of the capsule, that recipient may also be asked to notify TMT SG when the specified event takes place.

Records of these communications may be retained as part of the memory capsule service.

TMT SG may disclose personal data where reasonably necessary to:

• employees and authorised personnel;
• contractors and freelancers involved in delivering a project;
• cloud and technology service providers;
• website and hosting providers;
• payment processors;
• printing companies;
• transcription or editing service providers;
• couriers and delivery providers;
• professional advisers including lawyers, accountants, auditors and insurers;
• business partners involved in a service selected by the customer; and
• government authorities or regulators where required by law.

We seek to limit disclosure to information reasonably necessary for the relevant purpose.

Service providers processing personal data on our behalf are expected to handle that information appropriately.

Some technology, hosting, cloud storage, communications or other service providers used by TMT SG may process or store information outside Singapore.

Where personal data is transferred outside Singapore, TMT SG will take appropriate steps intended to ensure that the transferred data receives a standard of protection comparable to that required under Singapore's PDPA, where required by applicable law.

TMT SG may use reputable third-party cloud, hosting, storage or technology providers.

Although we take reasonable precautions, no electronic storage system can be guaranteed to be completely secure.

We may update storage providers, file formats, encryption methods or infrastructure over time as technology develops.

TMT SG will take reasonable administrative, physical and technical measures to protect personal data in our possession or control against risks such as:

• destruction; and
• similar risks.

If TMT SG becomes aware of a personal data breach, we will assess the incident and take appropriate measures in accordance with applicable law.

Where notification to the Personal Data Protection Commission or affected individuals is required under the PDPA, TMT SG will make the required notifications.

TMT SG may use software or artificial intelligence-assisted tools to support activities such as:

• speech-to-text transcription;
• proofreading;
• indexing;
• keyword extraction;
• image enhancement;
• audio processing;
• content organisation; and
• production assistance.

Where private customer content is processed through external service providers, TMT SG will consider appropriate privacy and security safeguards in selecting and using such providers.

TMT SG will not intentionally authorise private customer content to be used to create deceptive deepfakes or unauthorised impersonations.

Where permitted, TMT SG may send information about services, events, workshops or updates.

Where consent is required for a particular form of marketing communication, TMT SG will seek the appropriate consent.

You may request to stop receiving marketing communications at any time.

Operational communications relating to an active service, memory capsule, payment, delivery or legal requirement are not considered marketing communications.

Our website may use cookies or similar technologies to provide website functionality, improve performance, understand website usage and maintain security.

For example, deleting contact or identification information associated with an undelivered memory capsule may make future delivery impossible.

Withdrawal will be handled subject to applicable legal and contractual obligations.

You may ask TMT SG to delete personal data where appropriate.

We will assess deletion requests in light of:

• the purpose for which the information is still required;
• contractual obligations;
• memory capsule instructions;
• legal or accounting requirements;
• dispute-resolution requirements; and

Where information is no longer required and there is no lawful or legitimate reason to retain it, we will take reasonable steps to delete, destroy or anonymise it.

Where TMT SG is informed that a customer has died, we may retain information required to fulfil that customer's previously documented memory capsule instructions.

Before disclosing information to an executor, administrator, family member or representative, TMT SG may request evidence of identity and legal authority.

TMT SG may update this Privacy Policy from time to time to reflect changes in our services, technology, regulatory requirements or business practices.

The updated version will be published on our website with a revised "Last Updated" date.
